HR Jobs, Clinton Health Access Initiative Jobs. Candidate Care Specialist managing the candidate experience across all searches including communication, ATS data integrity and interview scheduling, requiring experience in a coordination, operations or candidate-facing role within recruitment or HR and strong ATS management and reporting skills, in an NGO global health environment, on-site role.

Position Overview

The Candidate Care Specialist is responsible for the quality and consistency of the candidate experience across every search CHAI runs, from the moment someone applies through to offer or rejection, covering both external and internal candidates across all regions and roles.

This is a detail-oriented, process-driven role that requires someone who takes genuine satisfaction in getting the basics right every time. The work involves close coordination with recruiters, hiring managers and the wider TA team, using CHAI’s technology and reporting tools to track where the process is working well and where things need to be followed up.

Key Accountabilities

  • Support the candidate communication process across active searches, helping to ensure candidates receive timely and clear updates at every stage wherever possible.
  • Coordinate directly with recruiters and hiring managers to keep searches moving, chasing updates, flagging delays and following up on outstanding actions to ensure the process does not stall.
  • Assist with exception reporting across the TA function, using iCIMS data to help identify where candidates have not been progressed, updated or dispositioned within agreed timeframes, and flagging where follow-up is needed.
  • Support the internal candidate experience, working to ensure internal applicants receive the same level of care and communication as external candidates, with clear and timely feedback at every stage.
  • Support the internal mobility process day to day, working closely with the Manager, Emerging Talent, Partnerships & Candidate Care to ensure internal opportunities are visible, well-communicated and managed consistently.
  • Maintain the integrity of candidate data in iCIMS, ensuring records are accurate, stages are updated in real time, and the system reflects the actual status of every active candidate.
  • Support interview scheduling and logistics across active searches, helping to keep the process running smoothly and on time.
  • Produce regular candidate experience reporting for the TA management team with clear and straightforward updates on where the process is working and where it requires attention.
  • Handle candidate queries and concerns directly, responding promptly, professionally and with care, and escalating anything that requires a recruiter or manager to step in.

Qualifications

  • Experience in a coordination, operations or candidate-facing role within recruitment or HR, with a clear understanding of what a well-run hiring process looks like.
  • Strong attention to detail and a high standard of follow-through, with the ability to manage consistent and methodical work across a high volume of concurrent searches.
  • Comfortable working with data and reporting tools, able to identify where things are falling behind, flag exceptions clearly and keep accurate records in an ATS.
  • A patient and persistent working style, with experience following up with busy people politely and professionally until things get done.
  • Strong written communication skills, with the ability to produce candidate-facing messages that are clear, warm and professional regardless of the news being delivered.
  • Comfortable working across time zones with a distributed team, where searches span multiple regions and coordination happens across different geographies simultaneously.
  • A working knowledge of global health or international development sufficient to represent CHAI credibly in candidate-facing communications.
  • Skills and Traits
  • Hard skills:
  • ATS management and data integrity, keeping iCIMS accurate and up to date across all active searches with strong discipline around stage progression and candidate records.
  • Exception reporting, using ATS data to identify where the process has stalled, where candidates have not been updated and where action is required, and presenting that clearly to the team.
  • Candidate communications, writing clear, professional and on-brand messages to candidates at every stage including at rejection, with a consistent tone and standard.
  • Support for interview scheduling and process coordination, helping manage diaries, logistics, and candidate communications across multiple concurrent searches.
  • Internal mobility process support, coordinating the day-to-day operation of CHAI’s internal candidate process with accuracy and care.
  • Soft skills:
  • Highly organised and methodical, able to track and manage a high volume of moving parts across multiple searches simultaneously without losing sight of them.
  • Persistent and thorough, comfortable chasing the same thing multiple times, politely and professionally, until it gets done.
  • A genuine care for the candidate experience, motivated by the idea that every person who goes through CHAI’s hiring process deserves a clear, respectful and timely experience regardless of the outcome.
  • Calm under pressure, able to manage competing priorities and time-sensitive requests without dropping the standard of care on any individual candidate.
  • A collaborative team player who works through strong relationships with recruiters, hiring managers and the wider TA team, with the ability to influence and follow up without direct authority.

Preferred Qualifications

  • Experience working in or recruiting for international NGOs, global health or international development organisations, with an understanding of the mission-driven candidate landscape.
  • Experience working with reporting or exception management in a recruitment context – using data to identify process gaps and drive improvements over time.
