Technical Tender & Proposal Specialist

Job Summary

We are seeking a Technical Tender & Proposal Specialist who will be works with solution engineers and the wider tender team to transform technical inputs into complete, compliant and professionally presented submissions. The role requires more than document compilation: the jobholder must interpret client requirements, identify gaps, challenge incomplete information, research and verify supporting technical evidence, and determine the clearest and most persuasive way to communicate Securex solutions. Engineering design and final technical approval remain the responsibility of the designated technical engineers.

Main

Responsibilities

• Tender Interpretation and Compliance
• Review RFQs, RFPs, tender documents and client briefs to understand the required technical scope, deliverables, evaluation criteria and submission instructions.
• Develop and maintain compliance matrices, tender checklists, clarification registers and evidence schedules.
• Identify omissions, contradictions, assumptions and risks, and coordinate the required clarifications before proposal development proceeds.
• Ensure that every technical requirement is answered directly or supported by an accurate cross-reference to the relevant proposal section or appendix.
• Technical Proposal Development
• Work with solution engineers to convert survey findings, BOQs, system designs and technical notes into clear, persuasive and technically coherent proposals.
• Develop the proposal structure, understanding of requirements, solution narrative, and scope of work, methodology, implementation plan, testing and commissioning approach, training plan and support framework.
• Standardise equipment descriptions, personnel profiles, project references, statutory evidence and controlled appendices across the submission.
• Identify and resolve issues including offline devices, communication failures, power interruptions, inaccurate location reporting, and sensor malfunctions.
• Review the complete proposal for consistency between the narrative, BOQ, drawings, compliance statements and manufacturer documentation.
• Solution Communication and Visualisation
• Determine the clearest way to communicate each solution using system architectures, workflows, equipment profiles, comparison tables, timelines, photographs and visual summaries.
• Prepare or coordinate professional diagrams and page layouts that help non-technical evaluators understand how the proposed system will operate.
• Apply Securex branding, document hierarchy and formatting consistently while maintaining readability across long and complex submissions.
• Manage Word documents containing multiple sections, orientations, tables, images, appendices, headers, footers, cross-references and automatic content fields.
• Technical Research and Validation
• Research OEM products, part numbers, datasheets, standards, compatibility

Requirements

• and available alternatives in support of the engineers’ proposed solution.
• Verify technical claims against authoritative manufacturer information and flag unsupported, outdated or conflicting specifications.
• Compare products and presentation approaches, and recommend practical improvements without making unapproved engineering decisions.
• Maintain current knowledge of electronic security technologies, tender practices and document-production tools.
• Coordination and Document Control
• Coordinate inputs from Sales, Engineering, Procurement, Projects, HR, Finance, QHSE and OEM partners, with clear owners and deadlines for outstanding information.
• Challenge incomplete input constructively, ask focused follow-up questions and escalate unresolved submission risks in good time.
• Maintain controlled proposal files, naming conventions, version history, review comments and final submission records.
• Conduct final completeness and presentation checks before technical approval and submission.
• Support the handover of awarded opportunities by ensuring the project team receives an accurate record of the approved scope, assumptions and commitments.
• Continuous Improvement
• Develop and improve proposal templates, content libraries, standard methodologies, CV formats, evidence registers and quality-control checklists.
• Use AI-assisted research, drafting and document tools responsibly to improve efficiency while independently verifying technical accuracy and confidentiality.
• Capture lessons from tender feedback and completed submissions to improve future proposal quality and win readiness.
• Key Competencies and Qualifications
• Strong analytical and critical-thinking ability, with the confidence to question unclear information, identify gaps and propose better ways of communicating a solution.
• Excellent technical writing, editing and information-structuring skills, with the judgement to simplify complex content without changing its technical meaning.
• Basic working knowledge of CCTV, access control, fire detection, intrusion detection, intercom, networking, power and integrated electronic security systems.
• Ability to interpret BOQs, floor plans, system architectures, site-survey information, product datasheets and basic technical drawings.
• Advanced Microsoft Word capability, including styles, sections, page numbering, tables of contents, tables, cross-references, images and appendix management.
• Good Microsoft Excel and PowerPoint skills; proficiency in Visio, AutoCAD, Canva, Adobe tools or similar diagram and design applications is an advantage.
• Strong visual communication and document-design judgement, with the ability to select the right diagram, table, image or narrative format for the information being presented.
• Good product-research and fact-verification skills, including the ability to locate and validate authoritative OEM information.
• Creative, curious and resourceful, with the ability to think beyond the information provided while recognising when technical confirmation is required from an engineer.
• Strong communication and interpersonal skills, with the confidence to engage engineers, managers, suppliers, tender teams and clients professionally.
• Excellent attention to detail, document-control discipline, time management and ability to work accurately under tender deadlines.
• Required qualifications/

Experience

• Diploma or degree in ICT, engineering, telecommunications, business information technology, technical communication or a related discipline.
• Two or more years of
• in technical proposals, tender documentation, bid coordination, technical pre-sales, electronic security, ICT or an engineering environment is preferred.
• Demonstrable
• preparing or coordinating professional technical proposals, tender responses, compliance matrices, BOQs or similar technical documentation.
• Exposure to electronic security systems, low-voltage systems, systems integration or related technical solutions is strongly preferred.
• working with engineers and converting technical inputs into client-facing documents will be an advantage.
• A portfolio or practical assessment demonstrating technical writing, document organisation, visual presentation and problem-solving ability may form part of the selection process.
