Responsibilities

  • Clerical and Administrative Support
  • Maintain and update employee personnel files and HR records.
  • Ensure employee records are accurate, complete, confidential, and securely stored.
  • Prepare, file, scan, photocopy, and distribute HR-related documents.
  • Draft routine correspondence, letters, contracts, and other HR documentation.
  • Manage incoming and outgoing HR correspondence and respond to routine employee queries.
  • Monitor end of contract dates and liaise with the HR Associate for communication with managers
  • Recruitment and Onboarding Support
  • Assist with posting job advertisements and tracking applications.
  • Schedule interviews and communicate with candidates.
  • Prepare interview packs and other recruitment documentation.
  • Conduct reference and background check coordination, where applicable.
  • Ensure new employees submit all required documentation and are properly set up in HR systems.
  • Process and issue terminal documentation such as certificate of service and P9 forms for leavers

  • Update employee information in the HRIS and google drives, including new hires, transfers, promotions, and terminations.
  • Support regular audits of personnel files to ensure documentation is complete and compliant.

  • Ensure HR documentation is prepared and retained in accordance with organisational policies and applicable employment laws.
