Job Summary: As a Warehouse and Logistics Assistant, you will support the Supply Chain Officer in managing the warehouse and logistics operations efficiently. This includes inventory management, ensuring timely and accurate receipt and release of goods, maintaining optimal storage conditions, coordinating logistics for the distribution of consumables and fixed assets and upholding stringent documentation standards. This role, based in Nairobi, Kenya, may involve local travel to our various centers. Scope of The Role • Warehouse operations • Logistics Management • Inventory management • Documentation and reporting • Coordination with procurement and finance teams KEY RESPONSIBILITIES: Warehouse Operations • Assist in streamlining receipt and release procedures in the warehouse. • Ensure goods are stored in optimal conditions and locations within the warehouse. • Support in maintaining a clean, organized, and safe warehouse environment. • Assist in the timely distribution of materials to various centers as required. Inventory Management • Conduct regular physical counts and spot checks of inventory. • Monitor inventory levels and notify the Supply Chain Officer of any discrepancies or shortages. • Assist in managing warehouse inventories to ensure accurate tracking and availability of supplies. Logistics Management • Coordinate logistics for the transportation and distribution of consumables and fixed assets to AHN Centers. • Ensure timely and cost-effective delivery of goods • Manage relationships with transport providers and ensure compliance with service agreements • Track shipments and resolve any logistical issues that arise during transit Documentation and Reporting • Maintain thorough documentation for materials received and released from the warehouse. • Ensure all inventory movements are accurately recorded in the ERP system. • Prepare and submit regular inventory reports to the Supply Chain Officer as per mandatory schedules. Coordination with Procurement and Finance Teams • Collaborate with the procurement team to ensure timely receipt of goods. • Coordinate with the finance department for inventory reconciliations and audit preparations. • Assist in ensuring timely supplier payments by providing necessary documentation to the finance department. Others • Undertake additional tasks assigned by the Supply Chain Manager and the management team. • Collaborate with all departments, closely working with the Supply Chain Officer in executing activities at all levels. Supervisory Responsibilities (Direct Reports): • Temporary / Casual Staff Desired Competencies: Qualifications • University degree in Supply Chain Management. Warehouse Management or related field • Proficiency in MS Office and ERP systems Skills/Attributes • Strong organizational and time management skills. • High attention to detail and accuracy. • Good interpersonal and teamwork skills. • Effective communication skills, both verbal and written. • Ability to work in a fast-paced environment and manage multiple tasks. • Commitment to AHN values and work ethic.
