The role will assist in monitoring vehicle movements, maintenance schedules, fuel usage, driver activities, documentation, deliveries and other logistics activities to ensure efficient and cost‑effective operations. The intern will gain practical experience: in fleet management, logistics coordination, record keeping, reporting and operational support. Key Responsibilities: Fleet Coordination Assist in daily allocation and scheduling of company vehicles. Monitor vehicle movements, assignments and utilization. Maintain updated fleet register and vehicle records. Track mileage, fuel consumption, servicing and repairs. Follow up on servicing, inspections, insurance and statutory requirements. Report breakdowns, accidents and maintenance issues. Monitor vehicle availability and communicate challenges. Driver Coordination Assist in coordinating drivers and assignments. Maintain updated driver records and documentation. Follow up on driver schedules, routes and assignments. Monitor compliance with fleet policies and procedures. Support communication between drivers and departments. Logistics Support Assist in planning deliveries, collections and dispatches. Support route planning and scheduling. Track deliveries and provide updates. Coordinate movement of goods between branches, customers and suppliers. Escalate delays or logistics issues. Fuel & Expense Monitoring Maintain accurate fuel usage and expense records. Reconcile fuel records, mileage and usage. Monitor fuel consumption and flag variances. Assist with fleet expense reports. Documentation & Record Keeping Maintain organized fleet and logistics records. Ensure vehicle files contain valid documentation. Capture and update fleet information in Excel or fleet system. Maintain records of maintenance, fuel, repairs, accidents, insurance and inspections. Reporting & Data Management Prepare routine fleet/logistics reports. Track key performance indicators. Update daily/weekly/monthly fleet trackers. Analyze basic fleet data and highlight trends. Support preparation of management reports. General Operational Support Support Fleet & Logistics Coordinator in procedures. Assist with audits and vehicle inspections. Participate in reconciliations. Perform other duties as assigned. Key Performance Indicators Accuracy and completeness of fleet records. Timely updating of trackers. Accuracy of fuel/mileage records. Timely follow‑up on servicing schedules. Efficiency in tracking movements and deliveries. Accuracy and timeliness of reports. Proper filing of documentation. Responsiveness to drivers and stakeholders. Adherence to procedures and safety requirements. Demonstrated learning, initiative and independence. Qualifications & Experience: Diploma or Bachelor’s Degree in Logistics, Supply Chain, Transport Management, Business Administration or related field. Recent graduate or student seeking internship experience. Basic knowledge of fleet/logistics operations an advantage. Proficiency in Microsoft Office (Excel, Word). Good numerical and data‑entry skills. Previous exposure to fleet/logistics desirable but not mandatory. Required Skills & Competencies Good organizational and coordination skills.
