Key Responsibilities Procurement Management (40%) Manage end‑to‑end procurement for goods, services, and raw materials (sourcing, supplier evaluation, RFQ, negotiation, purchase orders). Maintain approved supplier list, track lead times, and manage contracts. Ensure purchases follow approved budgets and authorization limits. Hand over approved invoices and GRN‑matched documents to Finance for payment processing (no direct payment authority). Inventory Systems & Controls (35%) Perform system entries for goods receipts, issues/deliveries, stock transfers, adjustments, and returns. Reconcile physical stock counts with system records and investigate variances. Prevent stores/warehouse staff from making direct entries; validate and key transactions. Monitor stock levels, reorder points, and aging to minimize obsolescence and stock‑outs. Enforce FIFO/FEFO inventory policies in the system. Coordination & Reporting (15%) Work closely with Manufacturing Operations Manager on production keying. Coordinate with Finance: submit supplier documents, monitor payment status, reconcile statements. Provide accurate inventory reports to Management, Finance, and Operations. Support internal and external audits. Identify and implement process improvements for cost savings and control. Compliance & Other (10%) Ensure all transactions comply with company policies and internal controls. Train staff on documentation requirements. Handle supplier queries related to deliveries and documentation. Qualifications & Skills Bachelor’s Degree in Supply Chain, Business, Accounting, or related field. 1–2 years’ experience in procurement, inventory control, or stores management in manufacturing/distribution. Strong ERP/system skills (SAP, Odoo, Dynamics, or similar). Knowledge of internal controls, segregation of duties, and audit requirements. Analytical, detail‑oriented, and high integrity. Good negotiation and communication skills. Key Performance Indicators (KPIs) Procurement ≥ 95% purchases from approved suppliers/contracts. 5–8% annual cost savings through negotiation. PO cycle time < 5 business days. ≥ 90% on‑time supplier deliveries. Inventory Controls & Accuracy ≥ 98% inventory accuracy (system vs physical). Stock variance < 1% of total inventory. 0–2 stock‑out incidents per quarter. 10–15% year‑on‑year reduction in obsolete/slow‑moving stock. Systems & Process ≥ 95% of inventory transactions entered by this role. 100% timely matching and handover to Finance within 3 days. 0 major audit findings. Overall Improved inventory turnover ratio. Positive stakeholder feedback on service and controls. Timely and accurate monthly inventory reports.
